JOB DESCRIPTION

 

POSITION:    Financial Assistant to Accounts Payable

 

QUALIFICATIONS:

  1. Associates Degree minimum
  2. Maintain a high level of ethical behavior and confidentiality as it regards school business
  3. Proactive team player
  4. Knowledge of accounting principles and methods
  5. Work a very deadline driven operation, so that delays in payment do not occur
  6. Ability to perform detailed work involving written and numerical data
  7. Capable of a high level of proficiency utilizing an accounting database and Microsoft Excel
  8. Be able to work independently, while contributing to the entire team
  9. Well versed in oral and written communication

 

REPORTS TO:    Director of Budget and Finance

 

JOB GOAL:  To retrieve, compile and report accounting data concerning financial transactions of expenditures, income and payroll processing.

 

PERFORMANCE RESPONSIBILITIES:

 

Assist the Director of Budget and Finance in any departmental task required, including:

  • Cross trained to be able to step in and perform the duties and responsibilities of the Financial Assistant to Payroll

 

Primarily assigned to assist the Director of Budget and Finance in accounts payable tasks, including:

  1. Process all vendor payments for 7 school districts and the SAU9
  2. Maintain accurate vendor record information, including W-9’s
  3. Annual production of 1099 reporting
  4. Issue purchase orders and encumbering costs into accounting system, assuring budget compliance
  5. Maintain the Fixed Asset list for the Annual Audit, including issuing fixed asset tags
  6. Maintain record of utility usage to be used for future budgeting and establishment for bid specs
  7. Maintain and file records, so as to ensure a smooth annual audit

 

TERMS OF EMPLOYMENT:  In accordance with the Personnel Policies for SAU #9 employees.

 

WORK YEAR:  260 days per year, 8 hours per day

 

EVALUATION: Performance of this job will be evaluated in accordance with the provisions of the SAU #9 Board’s policy on Evaluation of Support Personnel.  The Director of  Budget and Finance will be the evaluator.
